File Retention and Storage Policy

This File Retention & Storage Policy (“Policy”) governs how Burbank Podcast Studios (“Company”, “we”, “our”, or “us”) manages, stores, and deletes digital files related to client projects, including but not limited to audio recordings, video footage, and production assets.
By engaging our services, you (“Client”) agree to the following terms:
1. Retention Period for Production Files
All production-related files — including original recordings, raw audio and video, working project files, and any associated media used in the creation of deliverables — will be retained for one (1) year following the date of the Client’s last interaction or activity with the Company. After this period of inactivity, such files will be subject to permanent deletion without further notice.
2. Responsibility for File Downloads
Clients are solely responsible for downloading and archiving all final deliverables once they are shared. Final files are typically provided via a Google Drive download link. Clients are strongly encouraged to download deliverables immediately upon receipt. Links may expire or be deactivated at the Company’s discretion.
3. No Guarantee of Storage or Availability
Burbank Podcast Studios provides digital file sharing (e.g., through Google Drive) solely as a convenience to the Client. We do not guarantee the availability, integrity, or continued existence of any file shared. We make no representations or warranties, express or implied, regarding file storage, backup, or future access.
4. Right to Remove or Delete Files
We reserve the right to delete, remove, revoke access to, or otherwise dispose of any and all files, at our sole discretion and without prior notice. This includes but is not limited to: raw files, project assets, intermediate renders, and final deliverables.
5. Third-Party Platform Terms
Use of third-party platforms, including but not limited to Google Drive and Google Workspace, is subject to the terms, policies, and limitations imposed by Google LLC and its affiliates. Burbank Podcast Studios has no control over third-party services and shall not be held liable for outages, data loss, access issues, or any actions taken by those platforms.
6. Client Backup Obligations
It is the Client’s responsibility to ensure that all deliverables and files are downloaded, backed up, and stored securely on their own systems. The Company does not provide archival or long-term storage services and shall not be responsible for lost files under any circumstances.
7. Data Privacy and Confidentiality
Files may be stored temporarily on local or cloud-based systems. We take reasonable precautions to maintain confidentiality and data security; however, we cannot and do not guarantee absolute security. Clients should not assume any heightened level of protection beyond standard commercial practices.
8. Policy Changes
We reserve the right to amend, modify, or update this Policy at any time. Any changes will be effective immediately upon posting. Continued engagement with our services constitutes acceptance of the revised Policy.
